Know Everything about the Pay Statement of New York City Government Employees

Generally, the New York City Government Employees get paid on a bi-weekly basis, i.e., every other Friday of the month. Every time a New York City Government employee gets paid, they receive a pay statement providing several details about the payment.

The pay statement can be downloaded electronically via NYCAPS Employee Self Service. It is available in the Pay and Tax Information/View My Last Pay Stub section.

There are generally several details that remain mentioned in the Pay Statement. Have a look at those things and know what they mean one by one-

  • Pay Period:

As most of the employees get paid on a bi-weekly basis, this section in the Pay Statement refers to the first and the last days of the two weeks. Generally, there are ten working days and 14 calendar days.

  • Pay Date:

In the case of Direct Deposit, Pay Date indicates the date when the payment gets transferred to the employee’s account. If the employee receives a paycheck, then the Pay Date means the date printed on the check.

  • Check Number:

This is the reference number to track your payment. In the case of Direct Deposit, there will be a ‘Z’ before the check number. Even though there will be no ‘Z’ in Pay Check, in both cases, the check number will be there. This number will be present both on the Pay Statement and the paper check.

  • Payroll Number:

A payroll Number is a three-digit reference number to identify the agency of the employee.

  • Work Unit:

The work unit number aims to keep track of where an employee works at an agency. This number is also useful for the sake of timekeeping.

  • Distribution Number:

As the places of distribution regarding the paycheck may vary, the distribution number is necessary. So, the distribution number’s job is to indicate the location used by a particular agency for an employee.

  • Pension Number:

It should only be there if the employee has a membership at the New York City pension system. Otherwise, this field will stay blank.

  • Employee Name:

It indicates the name of the employee, which should be correct. If not, the employee should contact the Personnel office immediately.

  • Employee Number:

Employee Reference Number is a 7-digit unique identification number that works as the Employee ID. The City takes care of everything related to the payment of a particular employee using this number.

  • JSN:

Job Sequence Number is one of the employees has one job at the agency. In most cases, the City Workers have JSN as 1.

  • Federal MS/ Exempt and State MS/ Exempt:

This field in the Pay Statement indicates the marital status of the employee. It also contains the withholding exemption information provided by the employee on the W-4 form for Federal taxes and the IT-2104 form for State and local taxes.

However, the details on the EStub depend on the date when the employee filled the W-4.

  • Electronic Fund Transfer Information:

This refers to the ABA number of the bank of the employee. This number gets used for transferring funds via direct deposit method via electronic medium.

  • Federal W4:

This field indicates all the information the employee has filled in the recent Federal form W-4 Employees Withholding Certificate. Here also, it depends on the date. If the form has been issued in 2020, then only there will be three fields of Claim Dependents, Other Income, and Other Deductions mentioned in the Pay statement. Otherwise, the field will remain blank.

  • Totals:

It shows the total amount of gross pay earned by the employee, the total number of deductions, and the total amount of employee net pay.

  • Taxes:

This field shows the taxes taken for an employee in a particular period. The Year to Date subsection refers to the taxes taken in a calendar year- starting from the first payday up to the current one.

  • Payments:

Descriptions, Units/Hours, and Amount Earned- all these subsections under Payments show the type of payment, additional payments, hours of work in a pay period, and finally, the money earned in a pay period.

  • Deduction:

This section indicates if there have been any deductions taken from the employee for reasons other than tax. The possible reasons might be union dues, pension plan contribution, etc.

  • Leave Balances:

As NYC Government employees may earn leave time, this section shows details regarding that. The Description section shows the types of leaves, and the Balance Avail shows how much leave is left for an employee.

  • Message:

This section shows messages sent by the City to the employees. So, these different sections in the Pay Statement indicate various data related to the employees’ payment. We hope you got all your answers.
